IBPA Affiliate Organizational Grants

Because changes in the publishing environment are placing new demands on everyone involved in the business, we are reevaluating the ways we can support our members and affiliates.

For this reason, we are temporarily suspending our affiliate grant program. IBPA's board of directors has begun an examination of all our programs--including the affiliate grant program.

We regret this temporary inconvenience. But we can assure you that the program will be even more valuable and effective when our re-evaluation has been completed.

IBPA recognizes that an association can grow with the assistance of a paid person to answer the day-to-day calls and perform many of the mundane clerical functions, such as renewal billings and membership contacts. We therefore offer each affiliate a matching grant program to help them grow in size and services.

These grants are for two or more years to subsidize a paid staff person for each group. The goal is to enable the group to become established sufficiently by the end of the two-year period that the staff position can be permanent and the affiliate no longer needs the matching grant from IBPA to fund the position. We will match up to $5,000 per year and up to $10,000 total per affiliate (if approved by the board).

Application for a grant

• Application for the grant submitted by the affiliate describes the means of matching and accounting for the grant along with description of uses

• Grant Applications are submitted to IBPA Board

• IBPA Board approves final grants

Requirements of the matching funds program

• The staff person must not be a publisher member of the association or an employee of any member of the association.

• The person can be either part-time and/or full-time (this is to be negotiated by the individual affiliate association.)

• The affiliate should produce a detailed report describing how this person will be able to improve the currently operations of the affiliate group and how the group expects this person to help the group achieve financial independence within two years.

• The affiliate should also produce a job description for this person and a description of all functions this person will handle, along with a summary of how these functions have been handled in the past.

• The affiliate should also prepare a spreadsheet with revenue and expenses clearly defined for a 12-month period, and a detailed outline of activities planned for the year (such as meetings, catalogs, shows, seminars, membership dues, newsletter, etc.).

• The affiliate should submit to IBPA annually a summary of the results of the staff member’s activities in terms of new revenues, members, and activities as well as a spreadsheet documenting the work performed by the staff member, the expenses incurred, and the disbursements of the affiliate’s contribution to the program.

If the affiliate fails to meet the requirements of the program, IBPA reserves the right to terminate the grant and/or to request the return of grant monies already distributed.
